Volunteer Roles & Descriptions:
Note: Before requesting a volunteer spot, please read through the set of responsibilities in the descriptions below and the instructions in the PDF file for that role and confirm that you are of the minimum required age and have the skill set. Thank you.
- Check-in Participants & Will Call: This is the table where participants (volunteers, workshop teachers, performers, presenters) and donors/sponsors check in. When they come to this table, ask if they are a participant or donor and request their full name. Check the name, see if their name is on the list and if a check is already in the wristband received box. If their name is on the list and no check, place a check in the Wristband Received box. Give them their complimentary wristband, a program and some donors may receive one or two complimentary coffee mugs and magnets (check for their name on the bags under the table). If their name is not on the list or there is a check in the Wristband Received box, do not give them a wristband. Minimum Volunteer Age: 18. Check-in Instructions
- Cleanup: Starts at 5 or 6 PM. Clean up any garbage left behind on the Sheldon Turf Field (including the audience areas), take down signs (but don't throw them away), take down tables in the halls, box up items in The Green Room, Instrument Check-in Room, Auditorium, take down the tables in Cafeteria West, sweep the Cafeteria West floor, put the cafeteria tables and chairs back into place in Cafeteria West. Minimum Volunteer Age: 15. Cleaning Instructions
- Family Activity Tables: There are several Family Activities Tables, each has a fun way of learning more about Ireland through a craft, activity, reading and/or filling in a worksheet. As a volunteer, you will be at one of these tables helping those who visit the table. The Family Activity Table Instructions includes instructions for six tables with different activities. Read through the set of instructions of the table for which you would like to volunteer. Minimum Volunteer Age: 12. Make a Bridget's Cross, Earn An Irish Coin, Grow Shamrocks, Learn About Irish Bogs, Irish Place Names, Body Art and Temporary Tattoos
- Instrument Room Checker: Check in and out participants' instruments and equipment using a tag system. Anyone who uses this system needs to have a photo ID. Minimum Volunteer Age: 16. Instrument Room Checker Instructions
- Poster Hanger: Before the end of January, select an area for requesting businesses to hang our poster and between January 30th and February 10th, spend at least two hours hanging posters in this area. We provide posters, push pins and tape. Return the unused posters, tape and pushpins to Peggy Hinsman and let us know what areas you didn't cover. Minimum Volunteer Age: 16. Poster Hanger Instructions
- Room Manager: Highest priority of your roll is when people come to a workshop, check to see if their name is on the list. If their name isn't on the list and there still are spots available, add their name to the list. Check to make sure every participant who is 6 or older has a wristband. When the workshop teacher, presenter or performers arrive, if you have time, help set up for the workshop/presentation/performance and ask if any help is needed during the workshop. Before the workshop/presentation/performance, introduce the workshop leader/presenter/performer(s), remind people to make a donation after the workshop/presentation/performance, and give feedback on the feedback sheets and thank our sponsors. Afterward the workshop/presentation/performance has started, stay near the door to check for wristbands and if they are on the list if this is a workshop. Remind the performer/workshop leader/presenter when they have 5 minutes left (make sure they don't run overtime). After the workshop/performance hand out the check(s) if there are any for these people on the clipboard. For those who have the 10 am to 12 pm volunteer shift, the first house is used to get the room setup for workshops/presentations/performances. For those who have the 4 to 6 pm volunteer shift, the second hour is used to pack up all the festival items in the box and return the room to its original state. Minimum Volunteer Age: 16. Room Manager Instructions
- Sell CDs/DVDs/Books: Each performer, workshop leader, etc. can drop off their CDs, DVDs and/or books at this table to be sold. Count the number of items to be sold, ask for the the price of each item, document this on the checkin sheet and have them verify these numbers by initialing the Checkin Initial box. Keep only one of the items with its price on the table so they don't get stolen. Keep a record of every item sold with receipts and on the checkin sheet. When a participant arrives to pick up their items, count the amount sold through both the number of the items left and the items documented on the checkin sheet. Once you have verified the number sold, have the participant initial the Checkout Initial box. Calculate how much this person needs to be paid and contact Lynn Buckman or Peggy Hinsman to write them a check (don't give cash). Minimum Volunteer Age: 18. CD/DVD/Book Sales Instructions
- Sell Raffle Tickets: Each raffle ticket costs $2, but for every 5 tickets purchased, they get a free raffle ticket. Each raffle item has its own bin for entering tickets. Make sure each person puts their name, address, phone number and email address on the ticket, and make sure they get their copy of the ticket and they put the tickets with their contact info in the bins. Make sure you give each person who purchases one or more raffle tickets a receipt where you have listed the total number purchased and total amount payed. Let them know the raffle tickets will be drawn before the final performance on the Auditorium stage. Minimum Volunteer Age: 18. Raffle Ticket Sales Instructions
- Sell Eugene Irish Cultural Items: Sell Eugene Irish Cultural Festival mugs, magnets, pens and T-Shirts. Keep only one of each item on the table so they don't get stolen. Keep all the other items behind the table in their boxes. When they purchase an item, remove the item from the box, unless it is the last item to sell on the table. Keep records on every item sold on a tally sheet and through receipts. Minimum Volunteer Age: 18. EICF Items Sales Instructions
- Setup: Starts at 8 AM and involves setting up tables & chairs for the entrance area and vendors, putting up signs inside and outside, setting up the Green Room, Instrument Check-in Room and Auditorium and setting up the Family Activities area. Minimum Volunteer Age: 14. Table, Sign & Room Setup Instructions or Family Activities Setup Instructions
- Wristband Sales: Sell festival wristbands, give them their wristbands and distribute programs. Minimum Volunteer Age: 18. Wristband Sales Instructions
- Wristband Checker: Ask everyone coming into the festival area to show you their wristband. If they don't have one, send them to the ticket or participant check-in table. Do not leave your position without having someone fill in for you. Minimum Volunteer Age: 16. Wristband Checker Instructions
